An important step in this transformation was the implementation of Quinyx. We spoke to the project team and daily users of Quinyx at ISS Belgium to find out how the move to a modern scheduling solution changed their day-to-day work. What were the biggest challenges, what insights did the implementation provide, and how does Quinyx contribute to their goal of working more efficiently and supporting employees?
Switching to Quinyx: the main challenges
Steven Janssens, COO Cleaning Services at ISS Belgium, looks back on the search for a modern workforce management solution to support their facility services teams: ‘The main challenge in scheduling prior to Quinyx was that scheduling processes were very distributed and spread throughout the organisation, between a lot of people. This created the problem that many people who should actually be operationally active had to perform a lot of administrative tasks."
This led to the decision to use Quinyx as a powerful tool for scheduling and communication. Steven continues: "Quinyx has allowed us to revisit the whole of that process and make it more efficient." Not only did it streamline processes, but it also improved collaboration between employees and their colleagues. Laamira Saida, Team Lead at ISS Belgium shares, "Quinyx has made my job a lot easier. It has also strengthened the trust between us and our colleagues, as they know that everything is properly tracked - from overtime worked to holidays."
Implementation and a new way of working
Implementing Quinyx meant not only digitising scheduling processes and timekeeping, but also restructuring part of the organisation. ISS created a Planning Officer position specifically focused on using Quinyx. "The time previously used by many people to create company schedules can now be used to actually be operationally present in the field, with the workers, with the customer," says Steven.
With automated processes, District Managers and Team Leads can now focus more on their core tasks. Steven adds, "The main KPI that Quinyx should give us is more efficiency in the processes that are currently taking a lot of time. If we calculated that, we could save about 2% of our total labour costs."
Tips for a succesful Quinyx implementation
We also spoke to Dennis Dictus, IT Business Partner at ISS Belgium. We asked him for advice for future implementations within ISS Belgium, but also for other organisations considering implementing a Workforce Management solution. Here are his recommendations:
- Start by clearly defining the scope, both before and after the contract. This prevents misunderstandings and delays.
- Invest time in the first phase of the project, especially in designing the solution. The more time you put in here, the smoother the implementation will be.
- Work closely with Quinyx to explore what is feasible within their system. This not only helps with the current implementation, but also offers perspective on future extensions and optimisations.
