ICA Supermarket SAMköp operates in a competitive market where efficient time management is essential to giving customers the best quality and the lowest prices.

The retail trade places high demands on managers, as they are required to schedule employees according to customer flow, season and labour laws.

It’s also important for employees to communicate quickly and efficiently. According to owner and manager Jari Aalto, minor schedule changes can cause big headaches.

The Case

“I can’t afford schedule discrepancies,” Jari says. “It’s very important that employees know when they are supposed to work and that they always have an updated schedule available.”

Why Quinyx WFM?

“Primarily because it’s easy to use. The fact that it’s Web based was also a decisive factor,” Jari continues. “We wanted to avoid the paperwork that accompanies locally installed programs. Because employees can access the schedule from anywhere, they always know when they’re supposed to work, which is very reassuring. Quinyx' communication tools also influenced the decision. We wanted to be able to conduct all communication through text messages and email so we didn’t have to call each other constantly.”

How is Quinyx Used?

“Quinyx is used by all staff members,” says Jari. “Quinyx' statistics tools show about 50 to 60 log-ins each day. Even employees with fixed schedules log in frequently to swap shifts or check who else is working on a particular day. Because an updated schedule is always available, there are never any questions regarding shift swaps or work hours.

“Above all, Quinyx has improved the store’s efficiency,” he continues. “Employees feel more at ease because they can swap shifts without having to consult me. This allows them to plan ahead more effectively, as work sometimes coincides with other activities such as studies. An interesting phenomenon is that Quinyx encourages employees to book open shifts more frequently, which makes my work much easier. If a shift opens up on short notice I simply send out a text message to the staff, and within minutes it’s booked. I’m very happy with the program.”

Quinyx and the Future

“Quinyx includes me in the development process, which is very interesting,” Jari explains. “The retail trade advances constantly, and it’s very important that the program keeps up. The integrated bug reporting function makes improvement suggestions visible to all of Quinyx' users, which assures me that my opinion is heard.”
